Managing your conference call is tough. Between waiting for people to join, confusing moments where participants speak over each other and the constant asking “who said that”, conference calls have layers of complexity you don’t find in a regular physical meeting. VoiceText realized a need for a solution and one of our talented engineers, Jason, has put together what we think is the best web host console on the market.
What we refer to as the “console” you might think of as a dashboard or control panel. It is a website that you log into which shows you everyone dialed in to your conference call and which allows you to control every aspect of your call. There are other products on the market that offer some similar features, but there are some really spectacular bells and whistles that the VoiceText host console offers that you won’t find anywhere else.
The “basics” include call recording and playback- imagine that you want to play back a portion of your conference call with the company president for your team.
Another great feature is that you can email directly from the console with dial-in info already pre-populated in the email text. Maybe you need a person from another department to hop on the call, shoot a quick email on the fly, you’ll be alerted as soon as they join.
I already mentioned the invaluable ability to see everyone dialed in to the call, but you also see a speaker indicator when sound is coming from their line! This not only alleviates the need to ask who spoke, but allows you easily identify and mute lines with intrusive background noise.
Speaking of mute- you have 3 options. You can place the call in lecture mode, meaning all lines are muted, allowing for interruption free presentations. You can individually mute lines, again, handy when there is background noise. Finally, your participants can mute themselves with a simple keypad controls.
Q&A mode allows your participants to virtually “raise their hand” when they have a question, allowing you to put the in question queue for orderly Q&A sessions.
Breakout sessions let’s you place some callers in sub conference, allows teams to meet outside of the mass call, for example.
I’m really just scratching the surface here, but you get the idea- this is a powerful tool that can make a huge difference in your ability to manage your audio conference. Now, the exciting stuff- extras you won’t find with our competitors and the stuff we are really excited about.
Q&A transcription allows your assistant to pull callers into subconference and type out their question. When participants with questions are placed in queue you can actually read the question before inviting the petitioner to speak. You may have several people with the same or similar questions, allowing you to address them all at once. You might have an off topic question that you don’t particularly want to address in the mass call. You may run out of time and in that case will be able to directly email answers to those participants answering their specific questions. This tool is truly going to improve the quality of your Q&A sessions, increase efficiency and enhance your employee engagement.
Text blast reminders- this let’s you reach your invited participants in one swoop at some point. Think of the minutes wasted at the top of the conference call waiting for participants to join in, trying to reach them with an individual text or email. It is entirely inefficient , wastes time and creates frustration. We are solving that for you. Blast the reminder the morning of the conference and then again 5 minutes before. You have total control.
Multi-console breakout- Allow different team leaders to manage their own departments. While there is still a master console for the host, each sub-console manager will only see participants from their team. They can send out their own emails to missing participants, gage participation, create their own break out sessions and more.
What’s most exciting is that Jason continues to add enhancements to our console regularly. The VoiceText host console is the gold standard, the absolute most complete tool you’ll find for managing your conference call. Contact us today for a no obligation demo!
